About RFPhub

RFPhub is a free library of vendor-neutral RFP templates for buying business and technology software. It’s for the people who have to run the purchase: procurement leads, IT managers and department heads, including first-timers who have never written a request for proposal.

An RFP usually starts one of two ways: from a blank page, or from a template a vendor supplied, which tends to describe that vendor’s product. RFPhub’s templates describe what you need instead, so any capable vendor can respond and you can compare the answers fairly.

What you’ll find here

  • More than 110 free RFP templates for software and services, from CRM and ERP to SIEM and data warehouses. Each one is an editable Word file you can tailor and send. The updated templates also include requirements marked must-have or nice-to-have, vendor questions and example scoring weights.
  • Procurement documents: an RFI, an RFQ, a statement of work, a proof of concept plan and a vendor scorecard, plus an RFP response and cover letter for vendors.
  • Plain-English guides to the process: how to write and run an RFP, score proposals and choose a vendor, and when to use an RFI, an RFQ, an invitation to bid or a sole source justification instead.
  • A directory of state procurement portals showing where every US state posts its bids and how vendors register.

How we keep it accurate

  • Examples are labeled as examples. Timelines, scoring weights and response windows are starting points to adjust, not industry statistics.
  • Legal points cite their source. Where a guide mentions a US federal rule, it links to the official text on acquisition.gov or eCFR and notes that rules change and differ by jurisdiction.
  • No rankings. The guides don’t rank products or call any vendor the best, and the templates are written so any capable vendor can respond.
  • Corrections are welcome. If something is wrong or out of date, tell us and we’ll fix it.

The templates are free. You enter your name and email to download a Word file, and you’re welcome to share the templates with anyone who can use them.
